Moving a migration practice off Agentcis is mostly careful export, a small test and a side-by-side check. This guide walks through each step, from the first export to the day you cancel, and shows how the AgentDS import review keeps your client records, applications and fees linked on the way across.

Before you start
- Choose a quiet week. Avoid lodgement peaks and end-of-month invoicing. One person should own the move.
- Keep Agentcis running. Your team keeps working in Agentcis until the imported records have been checked. Plan to cancel later, not first.
- Check your right to export. Agentcis's privacy policy says "We permit you to delete, rectify and export information you have provided to us, subject to the conditions of our Customer Terms". Read your own agreement for the details that apply to you.
- Decide what moves. Most practices bring clients, leads, applications, tasks, notes, invoices and payments. Education records, such as partner institutions and commissions, can stay in Agentcis if you keep running education work there.
Step 1: Export from Agentcis
Export each list you use as a CSV or Excel file: contacts or clients, leads, applications, tasks, notes, invoices and payments. Keep the column headings as they are. Save the files together in one folder, and if there are several, you can zip them and upload the ZIP in one go.
Step 2: Keep an untouched copy
Copy the folder and don't open the copy again. It is your record of what the old system held on the day you exported, and it lets you start again if a test goes wrong. Store it where your practice keeps other records.
Step 3: Import a small test batch
Start your free trial and import 20 to 50 clients with their applications and invoices first. A small batch shows quickly how your columns map and which values need tidying. You can load fictional sample records as well to see how a full workspace looks, and clear them in one step.
Step 4: Match your fields
AgentDS reads CSV, Excel, TSV, JSON and supported ZIP exports. For each file you choose what it holds (clients, leads, applications, tasks, appointments, documents, invoices, payments or notes), match each column to an AgentDS field, and preview every row before anything is saved. Each row is marked Ready, Already present or Needs attention, with the reason, so you can fix the source and upload again.
AgentDS recognises common headings from Agentcis exports, such as client ID, stage, visa subclass, TRN, lodgement date and the responsible person's email, and suggests the match. Check each suggestion. Map the stage column to your AgentDS stages, and match staff by email so each record keeps its responsible person.
Step 5: Check duplicates and links
AgentDS checks each incoming client against the records already in your workspace and marks likely duplicates as already present. Applications, tasks, notes, invoices and payments link to their client by client ID or email, so check that every linked row found its client before you save.
Step 6: Compare with the original
Once the test batch is saved, compare it with your untouched copy: the number of clients, a handful of applications with their stages and dates, and invoice totals and balances. When the test matches, import the rest in the same way.
Step 7: Switch over, then cancel
Tell the team the date AgentDS becomes the working system. Record new work only in AgentDS from that day. Keep read access to Agentcis until you are sure nothing is missing, then cancel under the terms of your Agentcis agreement.
After the move
