Most comparisons for this search are written by software vendors, and this one is too. We've made ours easy to check: every competitor fact is dated and sourced from the vendor's own pages.
The short answer: there's no single best product. The right choice depends on how many registered agents and support staff you have, whether you also run education work, whether you need trust accounting or ImmiAccount form filling, and how you feel about contracts.
Buyer's checklist: what a migration practice should check
- Visa stage tracking. Can each application carry its own stages, deadlines and document checklist? Can one client hold several applications over the years without duplicate records?
- Expiry follow-ups. Are visa expiries recorded on the client profile? Does the system turn them into follow-up tasks, and who sees them?
- Record keeping. Are file notes, changes and client communications kept with a history of who did what and when? The Code of Conduct for registered migration agents includes record-keeping obligations; check the current requirements on the OMARA website. This is general information, not legal advice.
- Data export and lock-in. Can you export everything yourself, without a support ticket? In what formats (CSV, JSON, original documents)? Does export still work after you cancel? Are there exit fees?
- Australian data handling. Ask each vendor, in writing: where are records, documents and backups stored? Which third parties process data (email, SMS, payments, AI)? Does any data leave Australia, and for which features? Can the owner require two-factor sign-in? Are client records used to train AI? How long is data kept after you leave? The OAIC's Australian Privacy Principles guidance is a useful starting point.
- Pricing transparency. Is the price published? Per user, per registered agent, per plan or per licence? Are support staff charged? Is GST included? What costs extra?
- Setup fees. Is there a one-off onboarding, training or data migration charge?
- Contract terms. Month to month, or a 12, 24 or 36-month agreement? How do you cancel renewal?
- Trial. How long is it, is a card required, does it include every feature, and what happens on the last day?

Agent Manager
Agent Manager describes itself as one CRM for Australian migration and education agencies. It lists Form 956 and 956A generation, e-signed agreements, visa expiry notification rules, Outlook and Gmail inside the CRM, drive sync, Xero and MYOB, a client portal and mobile app, with records in Australian data centres on Microsoft Azure. Manager-level roles are free, and it states newly registered OMARA agents can get a Complete seat free for six months.

Agentcis
Agentcis is built for education and migration agencies and was founded in 2016. Its feature list covers lead forms, Facebook Lead Ads, partner management, application tracking, document checklists, a client portal, office check-in, sub-agent management, invoicing and payment schedules, plus a StudyLink Connect integration. Its pricing page lists the client portal, office check-in, invoicing and payment scheduling under the Premium plan. It offers two paid plans priced per user, and says annual billing saves 30%.

AgentDS
AgentDS is our product, made by UY4X | Australian built, on the Central Coast of New South Wales, for registered migration agents, migration agencies and immigration law firms. What works today:
- A live dashboard of applications, appointments, overdue work, client concerns, fees and visa expiries.
- An owner's daily brief: follow-ups due, unpaid invoices, client concerns, and applications with no activity for 14 days.
- Leads that convert to clients without re-entry, with duplicate checks.
- Application stages, recorded deadlines, and reusable task and document-checklist templates.
- Suggested follow-up tasks for recorded expiries, which you review before they're created.

Ezymigrate
Ezymigrate began in New Zealand in 2013 and went live in 2015. It describes itself as a CRM for licensed immigration advisers across NZ, Australia, Canada, the USA and the EU, covering case management, documents, trust accounting, client communication, two-way Xero sync and AI drafting. Some AI features are labelled as 2026 roadmap.

ImmiDesk
ImmiDesk calls itself practice-management software for Australian registered migration agents. It states consultation records can't be deleted and edits keep the original, service agreements are generated and e-signed against the matter, each practice gets its own database, and data is held in Australia.

ImmiLedger
ImmiLedger describes itself as a CRM for MARA agents with a white-labelled client portal, AI eligibility assessor and case assistant, skills assessment tracker, SMS campaigns, an education module, commission and sub-agent splits, time tracking, and Xero and OneDrive sync.

LodgeHQ
LodgeHQ was built by a registered migration agent based in Geelong. It lists a client portal, ImmiAccount auto-fill through a Chrome extension, DHA form generation, a trust account ledger, e-signatures, AI document extraction and workflow automation. It states data is hosted in Sydney and publishes its subprocessors.

Migration Manager
Migration Manager was released in 2005 and describes itself as built in Australia for immigration lawyers and registered migration agents, for firms of all sizes. It states its trust accounting is NSW Law Society certified and the company is ISO 27001:2022 certified. Features listed include a client portal, questionnaires, web leads, batch VEVO search, sponsor obligations and record keeping. An optional MM Templates library costs extra.

NextOra
NextOra is built in Wollongong for Australian migration agents and education consultants. It lists a lead pipeline, AI-generated position descriptions, LMT reports and GPS (with agent sign-off), payment plan tracking, a booking page and a visa knowledge base, with data on Australian servers.

Officio
Officio offers a cloud platform and states it has provided case management software to immigration professionals for over 25 years. Its ImmiXpress feature populates ImmiAccount forms from Officio questionnaires. Pro adds client and employer portals; Ultimate adds ImmiXpress, e-signature, VEVO check, workflow management and an AI writer.

Not included: WIDEN AI
We also tried to include WIDEN AI (ai.widen.com.au). On 26 September 2026 its product, features and pricing pages redirected to a migration practice website, so we couldn't verify current details from its own pages. We'll add it once we can.
Which one suits your practice?
Sole agent. Look for a low fixed cost, month-to-month terms and a trial without a card. Published solo entry points include Agentcis Professional (A$14 per user billed monthly, A$10 billed annually, plus setup charges), NextOra Starter (A$49 per seat), ImmiDesk and ImmiLedger Starter ($69), LodgeHQ (A$99 + GST) and Officio Solo ($129). Agentcis offers a free plan to businesses under a year old, and Agent Manager has a new-agent offer. AgentDS gives you everything for 14 days with no card, then shows plans.
Small agency (2 to 5 people). Model the price on your real headcount. LodgeHQ charges per registered agent; Agent Manager, Agentcis and NextOra charge per user; ImmiDesk and ImmiLedger sell bundles. Then check whether the owner can see overdue work without chasing. AgentDS's owner's daily brief and case assignments are built for that.
Firm (6 to 10+). Weight access controls, audit history, reporting across people and branches, security documentation and contract terms. Migration Manager states certified trust accounting; Agent Manager lists branch KPI reports; ImmiDesk Enterprise and ImmiLedger Elite cover larger teams. Education and migration agency. If course applications and commissions are core, Agentcis, Agent Manager and ImmiLedger state they handle them. What is the best migration agent software in Australia?
There isn't one answer. Shortlist two or three products using the checklist above, then trial them with a few live matters, including an invoice and a follow-up.
How much does migration agent software cost?
On 26 September 2026, published prices ranged from A$10 per user per month (Agentcis Professional billed annually, or A$14 billed monthly, with setup charges extra) to $339 per licence per month on a 12-month agreement (Migration Manager). Ezymigrate doesn't publish prices, and AgentDS shows plans when your trial ends. Always check GST, setup fees and add-ons.
Do I need migration-specific software, or will a general CRM do?
A general CRM tracks contacts and deals. Migration work runs on applications with stages, deadlines, expiries, documents and fees, which migration-specific software handles without custom set-up.
Can I move my data from Agentcis, Zoho or Excel?
Into AgentDS, yes: upload CSV, Excel, TSV, JSON or supported ZIP exports, match fields, and check duplicates and linked records before import. For any other product, ask what it imports and what it charges.
What should I ask about where client data is stored?
Where records, documents and backups are stored, which third parties process data, whether anything leaves Australia, whether two-factor sign-in can be required, and whether client records train AI. AgentDS answers these on its security page.
Does AgentDS use AI?
Not today. Its suggestions follow clear rules on your own records. When AI features arrive, the practice owner decides whether they're switched on, the provider will be named first, and identifiable client records are never used to train AI.
